1. Who we are

The Wayfinder Cellar ("the app") is a personal spirits and wine collection tracker. It is operated by an individual ("the app owner") and shared on an invite-only basis with a small, trusted group of users.

The app owner is the data controller for all personal data processed by this app. If you have any questions about how your data is handled, contact hello@thewayfindercellar.co.uk.

2. What data we collect

2.1 Account data

When you create an account, we collect:

  • Your email address — used to identify your account and send you transactional emails
  • Your first and last name — displayed in the app and used to personalise emails
  • Your chosen display currency — used to show valuations in your preferred currency
  • Your profile photo — if you choose to upload one
  • The date and time your account was created

2.2 Collection data

When you use the app, we store:

  • The bottles you add to your collection — including name, type, producer, region, vintage, ABV, quantity, rating, tasting notes, and where you acquired them
  • Your wish list bottles
  • Market valuations for your bottles, including the price, source, and date checked
  • Valuation history over time, used to show market movement

2.3 Community product catalog

When you successfully add a bottle to your collection or wish list (including via CSV import) and that bottle has a barcode, we may record anonymised product details in a shared community product catalog. This catalog is used only to improve barcode lookup for everyone. It may include:

  • Barcode and structured product fields such as name, type, subtype, producer, country, region, year, and ABV
  • Technical metadata such as how many independent sightings support a product mapping (counts only — other users never see who contributed)

The published catalog entry that other users' scans may hit never stores who contributed it, and never includes tasting notes, ratings, quantities, valuations, acquisition details, or any indication that you own a particular bottle. Internally we retain a per-user sighting record (linked to your account) solely so the same person is not counted twice toward agreement thresholds and so admins can review conflicting product mappings — that record is not shown to other users as part of anyone's cellar.

Other users cannot browse your collection or see who contributed a catalog entry.

2.4 Usage data

To run the AI features within the daily limits, we store:

  • A count of how many AI requests you have made today (grounded and standard lookups separately)
  • A shared cache of AI lookup results — this is anonymised and used to avoid making duplicate AI requests for the same bottle

2.5 Technical data

Like all web apps, we may receive:

  • Your IP address — handled by our hosting provider (Vercel) and not stored in our database
  • Browser and device type — for error monitoring purposes only

2.6 What we do NOT collect

  • We do not use any advertising trackers or analytics pixels
  • We do not sell or share your data with any third party for marketing purposes
  • Label reading (OCR) runs entirely on your device — photos are never uploaded to our servers unless you are setting a profile picture
  • We do not track your location
  • We do not publish your cellar, wish list, or ownership information to other users

3. How we use your data

We use your data only to operate the app. Specifically:

  • Your email address is used to send you a confirmation email when you sign up, a password reset email if you request one, and occasional account notifications such as suspension or access restoration
  • Your name is used to personalise emails sent to you
  • Your collection data is used to display your collection, calculate your collection value, and power the AI enrichment and valuation features
  • Anonymised community product catalog entries are used to speed up barcode discovery for all users — they are not used to identify you or expose your collection
  • Your AI usage count is used to enforce daily limits and prevent abuse of the AI features
  • The shared AI cache is used to improve response times and reduce AI costs

4. Who we share your data with

Your data is shared with the following third-party services solely for the purpose of operating the app:

We do not share your data with any other third parties. We do not sell your data. (Wish list sharing is a feature you control between users of the app, not a third-party data disclosure — see the next section.)

5. Data storage and security

Your collection and wish list data are stored in a Supabase database hosted in the EU (Ireland, eu-west-1 region). Row Level Security is enforced at the database level for those tables, which means each user can only access their own collection and wish list — even in the event of an application bug. The one deliberate exception is wish list sharing: if you create a share link, whoever redeems it can view the specific items covered by that link's scope until you revoke it or it expires — a feature you control, not a default, and it never extends to your collection. The community product catalog is a separate, shared product index (not per-user cellar data) and is not exposed as another user's private collection.

Your password is never stored. Supabase handles authentication using industry-standard bcrypt hashing.

Your profile photo (if uploaded) is stored in a Supabase storage bucket with access restricted to your account only.

All connections to the app are encrypted using HTTPS.

6. How long we keep your data

We keep your data for as long as your account is active. If you want your data deleted, contact privacy@thewayfindercellar.co.uk and it will be removed within a reasonable time.

The AI cache stores anonymised lookup results for up to 90 days (enrichment and scan results) or 14 days (valuations), after which they are automatically purged.

7. Your rights

You have the right to:

  • Access the data we hold about you — contact privacy@thewayfindercellar.co.uk to request a copy
  • Correct inaccurate data — update your name and currency in the app, or contact privacy@thewayfindercellar.co.uk for other corrections
  • Delete your account and all associated data — contact privacy@thewayfindercellar.co.uk
  • Withdraw consent — you can stop using the app at any time

If you are based in the UK or EU, you also have rights under UK GDPR and the Data Protection Act 2018, including the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Cookies

The app uses a session cookie to keep you signed in. This is a functional cookie — it is strictly necessary for the app to work and does not track you for advertising purposes. No third-party tracking cookies are used.

9. Children

The Wayfinder Cellar is not intended for use by anyone under the age of 18. We do not knowingly collect data from children.

10. Changes to this policy

If we make significant changes to this privacy policy, we will notify users via the app or by email. The "last updated" date at the top of this document will always reflect the most recent version.
